International Duties and Taxes Policy

How import taxes, IOSS and UK VAT numbers, and the prepaid duties surcharge work on orders shipped to the EU and the UK.

Effective Date: 4. november, 2026

This International Duties and Taxes Policy (the "Policy") explains how import taxes and customs duties are handled on Orders that MyDesigns fulfills through Network Fulfillment and ships to the European Union or the United Kingdom, and when MyDesigns charges you a prepaid duties surcharge. It is part of, and incorporated into, the Terms of Service. Capitalized terms not defined here have the meaning given in the Terms of Service.

1. Who this Policy applies to

This Policy applies to Network Fulfillment Orders shipped to a member state of the European Union or to the United Kingdom, through a Print Provider that supports prepaid duties. Where an Order qualifies, the order view shows a field for an IOSS or VAT number. The field is not shown for Orders shipped within the United States or to other destinations.

This Policy does not apply to production billed to you directly by a third party, such as a print account you link yourself. Prepaid duties are available only through Network Fulfillment. It also does not apply to Orders placed through a MyDesigns Store.

2. Definitions

• IOSS number - the Import One-Stop Shop identification number issued under EU VAT rules, which shows customs that import VAT on a shipment valued at €150 or less has already been collected.

• UK VAT number - the VAT registration number used for goods shipped to the United Kingdom, which is outside the EU and has its own import VAT rules.

• Delivered Duty Paid (DDP) - a shipment where import taxes and customs clearance are prepaid, so the recipient should not be asked to pay anything on delivery.

• Delivered Duty Unpaid (DDU) - a shipment where import taxes, duties, and customs fees are collected from the recipient by the carrier on delivery.

• Prepaid duties surcharge - the charge described in Section 4.

3. Adding an IOSS or VAT number is optional

You choose, Order by Order, whether to add an IOSS number (for EU destinations) or a UK VAT number (for UK destinations).

• If you add a valid number, the Order ships Delivered Duty Paid, and the prepaid duties surcharge in Section 4 applies.

• If you do not add a number, the Order ships Delivered Duty Unpaid. MyDesigns does not charge the surcharge, and the carrier may ask your buyer to pay import VAT, duties, and customs handling fees before handing over the package.

Whichever you choose, it is your decision as the seller, and you are responsible for telling your buyers how import taxes are handled in your own store policies.

4. The prepaid duties surcharge

When an Order ships Delivered Duty Paid, MyDesigns charges a flat surcharge of US $3.50 for each unique product type in the Order. Each product type is declared to customs under its own tariff classification (HS code), and the surcharge applies once per classification, not once per item.

For example, an Order with 10 t-shirts and 2 hoodies contains two product types, so the surcharge is US $7.00, however many units of each are in the Order.

The surcharge is a pass-through of the amount our Print Provider bills MyDesigns for prepaid customs clearance. MyDesigns adds no markup or margin to it.

5. Why there is a surcharge

Recent customs rules for low-value shipments into the EU and the UK added a charge for clearing each tariff classification in a shipment when import taxes are prepaid. Our Print Provider bills that charge to MyDesigns for every Delivered Duty Paid shipment. Because MyDesigns is the merchant of record for Network Fulfillment, we pass the same charge on to you, at cost.

The surcharge is not VAT. If a marketplace such as Etsy has already collected VAT from your buyer at checkout, the IOSS number tells customs that VAT was paid, so it is not collected from your buyer a second time. The surcharge pays for the separate prepaid clearance service that makes that possible.

6. You approve the surcharge before it is charged

When you add an IOSS or VAT number, the surcharge for that Order is shown as its own line in the Order's payment summary before you approve the Order. By approving the Order, you approve the surcharge, and MyDesigns does not charge the surcharge on any Order you have not approved. Once approved, the surcharge is charged together with the Order, using the same Wallet Funds or Linked Payment Method as the rest of the Order.

7. Accuracy of the number you provide

You are responsible for providing an IOSS or VAT number that is valid and that you, or the marketplace that sold the item, are authorized to use for the shipment. MyDesigns does not verify the number with any tax authority. If a number is invalid, expired, or does not match the shipment, customs may reject it, and your buyer may be asked to pay import taxes and fees on delivery. MyDesigns is not responsible for delays, charges, or returns that result from an incorrect number.

We share the number with our Print Provider and its carriers only to clear the shipment through customs.

8. Shipments valued above €150

The IOSS scheme covers only shipments with a declared value of €150 or less. Import duties on shipments above €150 are not covered by the prepaid duties surcharge.

9. Refunds

If an Order qualifies for a refund under the Refund and Cancellation Policy, the prepaid duties surcharge for that Order is refunded with it.

If an Order ships Delivered Duty Unpaid and the recipient refuses to pay import taxes or fees, a returned or abandoned package is treated as a delivery issue under Section 4 of the Refund and Cancellation Policy.

10. Not tax advice

This Policy describes how MyDesigns handles customs clearance on Network Fulfillment Orders. It is not tax advice. You remain responsible for your own VAT registration, collection, and reporting obligations in every country where you sell, as described in the Terms of Service.

11. Changes to this Policy

Carriers, Print Providers, and customs rules change. We may update this Policy, including the surcharge amount and the destinations it covers, by posting an updated version with a revised effective date. A change to the surcharge applies only to Orders you approve after the change takes effect.
